Eby Creek Mesa HOA is a community of 223 homes in Eagle, Colorado. Before OmniHOA, the board ran operations the way most self-managed HOAs do: one or two people carrying the administrative load, dues tracked in spreadsheets, payment failures found after the fact, and homeowner email handled by whoever had time. The board was doing the work of a management company on top of the work of being a board.

What we built
Dues, and getting them in
Eby Creek's annual dues billing is now fully automated. When the billing cycle opens, invoices generate from board-approved data and go out by email with two payment paths: pay in full or enroll in a payment plan. Both paths run through Stripe, with ACH and card options available to homeowners. Every payment writes straight into QuickBooks, with no manual entry and no reconciliation scramble at year end. When a payment fails, the system flags it immediately rather than letting it surface weeks later.
What homeowners can do without calling the board
Homeowners can log in to check their balance, view payment history, see their payment plan status, and take action without calling or emailing the board. Routine payment questions stopped reaching the board almost entirely. The portal is built on Stacker, connected to the HOA's Airtable base, and nobody on the board has to maintain it.
AI-assisted email handling
Homeowner email is the part of HOA management that eats board time in ways nobody sees until they count it. Routine questions, like payment status, violation notices and acknowledging a request, now go through an AI drafting system that writes a ready-to-send reply. The manager reads it, edits it if it needs editing, and sends it. The board is out of that loop, and homeowner email now turns around in hours.

Results
Some of the other things that changed:
- Payment collection is current. The board is no longer finding delinquencies after they have compounded.
- Homeowners have a self-service option that handles the bulk of routine payment questions without board involvement.
- Yearly dues processing used to take a lot of manual coordination. The board now approves and oversees it instead of doing it.
- The board's operational attention shifted from running the HOA to governing it.
